IT Clinical Project Manager

We are currently looking for an experienced IT Project Manager to manage various clinical projects for our direct client in Princeton NJ.  The IT PM must be able to operate with limited oversight and will need to command the respect of a broad range of stakeholders.  The IT PM is expected to be an expert at risk mitigation, being able to not just develop mitigation plans for already known risks, but continually “peeling the onion” to find the risks in the project that have not yet been identified. Other skills, experiences, and responsibilities for this IT PM follow below.

 

Project Planning

  • Coordinate all key project meetings, phone calls, meeting rooms, etc
  • Work with business stakeholders and vendor to finalize and get signoff on detailed scope of the project in line with the high level scope set forth in any Statements of Work (SoW) & project charters
  • Develop and get signoff on the Project Strategy document, the “plan of plans”, including, but not limited to, the communications plan, project team structure, recurring meeting (including steering) frequency, etc
  • Develop a project timeline / schedule using Microsoft Project, following all BT standards, working with the appropriate BT teams (e.g. Application Engineering, Information Management, Infrastructure, Security, etc), vendor teams, and business teams
  • Ensuring all required deliverables as set forth in the BT RACI are included in the overall project schedule
  • As necessary for applicable projects, collaborate with the BT Validation Manager to ensure the system’s validation needs are assessed and defined
  • Prepare for, and conduct, project kickoff presentation
  • Begin preparations for Service Readiness Planning (handoffs to Production Support) at the onset of the project

 

Clinical Experience

  • At least 5 years’ experience managing projects for validated systems
  • Experience managing projects for Clinical GSPV / Safety teams (e.g. Aris G and Argus systems), Clinical Biostatistics and Data Management teams (e.g. SAS products), and / or Clinical Data Mart / Reporting systems (e.g. SAS Visual Analytics, Power BI, etc)

 

Project Execution

  • Manage overall scope of projects as defined in the project charter, including the scope, schedule, financials, etc of any project-related SoWs
  • Manage overall financials (more below) of the project, ensuring key financial information is always up to date in the overall BT project portfolio tool
  • Maintain issues & risks logs, ensuring issues &  risks are categorized and prioritized appropriately, working with project stakeholders on risk mitigation strategies and action plans for issues, and escalating / raising at appropriate times
  • Manage the project schedule, baselining it and getting sign-off on it when scope is finalized, and always managing actuals vs. forecast vs. baseline
  • Conducting regular (e.g. weekly), action-oriented, project status meetings with all key project stakeholders
  • As dictated by the scope of different projects, work in close collaboration with vendor resources, multiple business units, and all BT teams to ensure the project is getting executed and will deliver the baselined scope within budget and schedule
  • Ensure all key deliverables are being produced, stored in the appropriate repository, and when applicable, signed-off on
  • Prepare weekly status reports (Sharepoint) and monthly / bi-monthly steering committee presentations

 

Project Closeout

  • In coordination with Finance, ensure purchase orders are closed
  • Ensure all project deliverables are housed in the project document repository (Sharepoint)
  • Manage all activities required for production cutover including a smooth handoff to Production Support and the associated decommissioning of any legacy systems / contracts
  • Obtain business acceptance of newly released production systems
  • Conduct lessons learned / post mortem meeting with BT, business, and vendor resources

 

Financial Responsibilities

  • Manage overall project budget as defined in the approved appropriations request (AR)
  • In coordination with Finance, setup POs, track invoices, track actual / committed spend / accruals, etc.

 

Management / Supervisory Responsibilities

  •  None, other than the inherent responsibility of ensuring cross-functional resources assigned to tasks for a given project are executing those tasks

 

Minimum Experiences

  • Bachelor’s Degree, preferably with a technical concentration (e.g. Computer Science, etc)
  • Ten years professional system implementation / project management experience
  • Three years managing global IT projects
  • Effective written and verbal communication skills
  • Proficient with Microsoft Project and common Microsoft Office applications (e.g. Excel, Power Point, Word, One Note)
  • Experience working with Sharepoint (or similar) project workspaces / document repositories
  • Waterfall system development lifecycle (SDLC) experience
  • Experience managing Commercial Off the Shelf (COTS) and / or Software as a Service (SaaS) projects, including integrations into and out of these systems, data migrations, etc
  • Technically skilled Project Management professional comfortable managing the tasks of application engineers, database administrators, data architects, infrastructure, security, and other technical functions
  • Must have experience working with local and virtual teams

Preferred Experiences

  • PMP Certification
  • Relevant Pharmaceutical / CRO industry experience
  • Agile / Scrum system development lifecycle experience
  • Past IT experience in other, hands-on capacities (e.g. developer, database administrator, etc)
